How and why we collect and use information
Where reasonable and practical, we collect personal information directly from you. We collect it when you register an account, place an order, request a quote, use the App, contact us by phone, email or facsimile, or visit our website. We may also receive it from your organisation, from publicly available sources, from cookies and from third parties. When we collect information, we will where appropriate explain why we are collecting it and how we plan to use it.
We use your personal information for these purposes:
• To process and deliver your orders, show your contract pricing and manage your account.
• To send order confirmations, delivery updates and other service messages, including push notifications you have allowed.
• To provide information to our clients and respond to your enquiries.
• To keep the website and App secure, fix faults and improve how they work.
• For marketing, where permitted. You can unsubscribe from our mailing and marketing lists at any time by contacting us in writing.
We may also use your information for a secondary purpose closely related to the primary purpose, where you would reasonably expect it.
Sensitive information includes details such as racial or ethnic origin, political opinions, religious or philosophical beliefs, union membership, criminal record or health information. We do not ask for it through the App. If we ever hold it, we use it only for the purpose it was collected, for a directly related secondary purpose, or with your consent or where the law requires or authorises it.
Sharing your information with others
We do not sell your personal information. We share it only when needed to run our business and serve you, and only in these cases:
• Service providers who help us operate the website and App. These include Shopify (online store, customer accounts and checkout), [payment provider, Shopify Payments], our customer and order management systems, hosting providers, delivery and courier companies, and [analytics, crash reporting and push notification providers].
• Where you have consented to the use or disclosure.
• Where the law requires or authorises it.
These providers may use your information only to provide their services to us.
Our website and App may contain links to third-party sites. We do not control and do not guarantee the content or privacy practices of those sites.
The Livingstone mobile app
Signing in. You sign in with your email address and a one-time code we send you. If you turn on Face ID or fingerprint login, your phone checks your biometric details. Livingstone does not receive, see or store your fingerprint or face data. You can turn this off at any time in the App or in your phone settings.
Push notifications. We send notifications, such as order updates, only if you allow them. You can turn them off in your phone settings at any time.
Device and diagnostic data. [If applicable] We collect device type, operating system, app version and crash reports to keep the App working and fix problems.
Permissions. The App asks for the phone permissions it needs, such as notifications and [camera for barcode scanning, if added]. You can change these in your phone settings.
Website content in the App. Some pages in the App, such as checkout and account pages, display our website inside the App. The website's cookies and the sections of this policy that cover it apply to those pages.
Security and how long we keep information
We store your personal information in a way that reasonably protects it from misuse, loss, and unauthorised access, modification or disclosure. Information sent between the App and our systems is encrypted in transit.
When we no longer need your information for the purpose it was collected, we take reasonable steps to destroy it or permanently de-identify it. Most records, including orders, invoices and client files, are kept for a minimum of 7 years to meet our legal, tax and accounting obligations.
Access, correction and account deletion
Access and correction. You can ask to see the personal information we hold about you and to update or correct it, subject to certain exceptions. You can update your name, email and saved addresses yourself in the My Account section of the website and the App. For anything else, please contact us in writing. We do not charge a fee for an access request but may charge an administrative fee for providing a copy. We may ask you to confirm your identity first. We take reasonable steps to keep your information accurate, complete and up to date, so please tell us if it changes.
Deleting your account. You can ask us to delete your account and the personal information linked to it in either of these ways:
1. In the App: go to Account > Profile > Request Account Deletion.
2. On the website, even if you have deleted the app, you can send your request at https://www.livingstone.com.au/pages/request-account-deletion
We will confirm your request and complete it within 2 to 3 business days. Deleting the App from your phone does not delete your account.
What we delete and what we keep. We delete your customer account, saved addresses, wishlists, saved carts and push notification identifiers. We must keep some records, such as orders, invoices and payment records, for at least 7 years for legal, tax and accounting reasons. We keep only what we need, and we limit how it is used.
Policy updates, complaints and enquiries
We may change this policy from time to time. The current version is always available on our website and through a link in the App.
If you have a question or complaint about this policy or how we handle your information, contact us at [management@livingstone.com.au] or write to Livingstone International Pty.
